    Faculty Leaving Duke

    When a faculty member leaves Duke, the dFac user should ensure that all of their current appointments end at the appropriate time. If the faculty member has secondary, joint, or membership appointments in another school, please notify the appropriate school administrator to ensure the end of those appointments as well.

    Not all faculty who leave Duke choose to relinquish their ties to Duke, as some retain emeritus or adjunct appointments. This guide helps you choose what steps to take based on the needs of the individual faculty member and the unit.

    End Reason: Promotion/Change of Status

    If the faculty member is transitioning to an Emeritus appointment upon their departure, a dFac user should submit a dFac Appointments form using Promotion/Change of Status as the reason. Appointments for emeriti faculty members are expected to remain active until their deaths. The home addresses should be maintained in dFac using the Faculty Data Change form. If the faculty member has a professorship, ensure you communicate the change in status by submitting a professorship form.

    If the faculty member will retain an adjunct, consulting, or other non-regular rank appointment, a dFac user should submit a dFac Appointments form using Promotion/Change of Status as the reason. Appointments for Regular Rank Faculty who transition to adjunct status must be reviewed and maintained along with all adjunct faculty. If the relationship between the person and Duke ends after a time in an adjunct status, the person must be terminated (see Faculty Departures).

    Any secondary, joint, administrative appointments, or memberships should be actively reviewed at the time of the change of status. It is the primary appointment unit’s responsibility to communicate with all units the faculty member has appointments or memberships in. To end a secondary, joint, or administrative appointment a dFac user submits a dFac Appointments form using Update Existing Appointment as the reason. The end date of the appointment should be updated to the new ending date of this secondary, joint, or administrative appointment and documentation attached to the form supporting this new end date. If the faculty member has a professorship, ensure you communicate the change in status by submitting a professorship form.
